Terms & Conditions


Agreement

By accessing, using, browsing or booking through our Web Site(s) or Directly or Indirectly through Orange Tree Travel Services or its representative(s), you agree that you have read, understood and agree to be bound by these terms and conditions and you agree to comply with all applicable laws, rules and regulations. By accepting our booking terms, user is also agreeing to terms & conditions of the Hotels, Airlines, and other associate service providers and vendors.

Prices

Prices quoted generally include accommodation charges/ travel charges, taxes (unless specified otherwise) and in some cases specified meals (Breakfast / Lunch / Dinner). Prices do not however include any personal expenses or additional fees such as telephone calls, items from the mini-bar, services, cleaning, Adventure activities etc.

Payments

For the services contracted, advance payment should be made to hold the booking on a confirmed basis and the balance amount (if any) needs to be paid before starting of the trip. We hold the right to decide upon the amount to be paid as an advance payment, based on the nature of services, vendor requirements and/or the time left for the commencement of the services.
For Flights you have to pay the entire amount prior to the confirmation of your booking.

Mode of Payment

Payment can be made through Bank / Wire Transfer to our bank account. The transfer/processing charges levied by the bank need to be deposited in addition to the payment amount.

Based on the transactional requirements, advance payments can be made through one of the following methods:

  • Visa/ MasterCard/ Diners/ American Express Credit Card
  • Bank/ Wire/ Telegraphic Transfer
  • Bankers Cheque / Bank Draft

  • We do not accept payments through International cheque. Upon arrival in tour destination, the payment can be made through currency notes only. In case of payments through a Credit Card, the bank transaction charges-as applicable-would be levied over and above the total amount.

    Cancellation Policy

    In case of cancellation of reservations and/or tour/travel services due to any avoidable/unavoidable reason(s) we must be informed in writing. Cancellation charges would be effective from the date we receive the intimation in writing and cancellation charges would be as below.

  • 45 working days prior to the date of travel– 90% of the package cost may be refunded (except the transaction charges) after deducting 10% towards processing/accounting / service charges.
  • 30 working days prior to the date of travel - 75% of the package cost may be refunded (except the transaction charges) after deducting 10% towards processing/accounting /service charges.
  • 15 working days prior to the date of arrival - 50% of the package cost may be refunded (except the transaction charges) after deducting 10% towards processing/accounting/service charges.
  • If the cancellation is any later than the above stated period or in case of No Show- No Refund.

  • During Peak-Season, which is defined by the density of tourist inflow in each region, and may vary from place to place and hotel to hotel, any particular hotel may implement a different cancellation policy. The travel agent is bound to follow the hotel specific cancellation policy and in case of variation from the above stated policy, the excess in cancellation charges will be borne by the client and not the travel agent. In case you cancel the trip after commencement, refund would be restricted to a limited amount that too would depend on the amount that we would be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not take any guarantee to refund.

    A modification fee of minimum INR 1000 per request will apply if you wish to change or cancel any part of your booking which is applicable for all tours bookings plus a difference in rates will be charged for changes to be made to the reservation subject to availability.

    Modifications/Cancellations sent directly to the hotel will not be honored. Partial Cancellation of flights and Bus tickets are not allowed.

    Refund

    In regard to refund of unused / unutilized services (which are paid for and cancelled well in advance) the refund amount would be worked out on the basis of cancellation policy as described above and the money would be accordingly refunded to the person who has made the payment to us. Any refund against a payment received through a Credit Card, will be made on the same credit card only. Please note that the refund process may take 2 to 8 weeks due to banking procedures.

    No deductions will be made for the refunds (except the transaction charges), which are made due to unavailability of services. If the services requested are unavailable during the requested period, we will offer similar alternatives well before the commencement of the services and if the client does not find the alternatives acceptable, the advance will be refunded. However, once the alternative service is accepted by the client, cancellation of the same will be subject to the above stated cancellation policy.

    Tariffs And Taxes All package rates are subject to change until booked. Please note that after the finalization of the tour/service cost, if there are any hikes in entrance fees of monuments/museums, taxes, hotel cost, airfare , train fare , bus fare fuel cost or guide charges, the same would be charged as extra by us or by our local representative after our instructions only.

    Hotel Administration reserves all rights for revision in room tariffs until the actual check-in of the client. To confirm the reservation(s), the payment is made in advance based on currently applicable and published tariffs of the hotel. In an event of hike in room tariffs, by the hotel administration, the Travel Agent will not be liable for the additional supplement. The client is requested to note that under such rare but possible circumstances, the client will be liable to pay the additional supplement as demanded due to the revision in tariffs.

    Travel Industry and Hotel Tariffs are governed by various Government Taxes and Levies. The tariffs quoted on Tax Inclusive basis generally include all applicable taxes and levies as on the date of quotation. In an event of change in the rate of Government Taxes and implementation of additional levies and/or taxes, the Travel Agent will not be liable for the additional taxes. The client is requested to note that under such rare but possible circumstances, the client will be liable to pay the additional taxes or levies as implemented.

    General Terms

    Orange Tree Travel Services acts only in the capacity of agent for the hotels, airlines, transporters, railways & contractors providing other services & all exchange orders, receipts, contracts & tickets issued by us are issued subject to terms & conditions under which these services are provided by them.

    The hotel ratings given (if any) on our web sites are established by qualified local authorities and do not reflect our opinion about the hotel or the service rendered by the hotel. In Himachal, The facilities of Hotel, Services, and Aids etc cannot be matched to flat or developed destinations. Hotels in Himachal are categorized on the basis of location, Services, reviews and costing and not as per Star Categorization i.e.; 2*, 3*, 4* and so on.

    Hotels / Holidays cost will be calculated on the Basis starting /base category stay until /unless mentioned above, In case of up gradation It will be Charged. In Hill stations we gives Non AC Rooms until mentioned/ specified in the Proposal.

    All itineraries are sample itineraries, intended to give you a general idea of the likely trip schedule. Numerous factors such as weather, road conditions, the physical ability of the participants etc. may dictate itinerary changes either before the tour or while on the trail. We reserve the right to change any schedule in the interest of the trip participants' safety, comfort & general well being.

    We shall not be responsible for any delays & alterations in the program or expenses incurred - directly or indirectly - due to natural hazards, flight cancellations, accident, breakdown of machinery or equipments, breakdown of transport, weather, sickness, landslides, political closures, Traffic Jams or any untoward incidents.

    We shall not be responsible for any loss, injury or damage to person, property, or otherwise in connection with any accommodation, transportation or other services, resulting - directly or indirectly - from any act of GOD, dangers, fire, accident, breakdown in machinery or equipment, breakdown of transport, wars, civil disturbances, strikes, riots, thefts, pilferages, epidemics, medical or custom department regulations, defaults, or any other causes beyond our control.

    We do not have any insurance policy covering the expenses for accident, sickness, loss due to theft, or any other reasons. We request you to obtain suitable insurances/other protective measures etc. to safeguard yourselves.. All baggage’s & personal property/s at all times are at the client's risk.

    Flight Booking Terms

  • You are required to pay the entire amount prior to the confirmation of your booking.
  • Name entered in traveler's details should be exactly as per the passport. Name changes after booking are not allowed.
  • Kindly ensure that you have the relevant visa, transit visa (if applicable), immigration clearance and travel with a passport, with a validity of at least 6 months as on date of travel.
  • There will be no refund for 'no-shows' or any partially unused flights.
  • To avail infant fares, an infant must be under 24 months throughout the entire itinerary you are booking. This includes onward and return journeys. If the infant is 24 months or above on the return journey, you will be required to make a separate booking using a child fare
  • Infants must be accompanied by an adult at least 18 years of age.
  • Travel Agent will not be responsible for any schedule change by the airline after issuance of the ticket, but will inform you of the same if informed by the airlines. It is advisable to reconfirm your flight timings 24 hours prior to your flight departure.
  • We charges a non-refundable convenience charge of Rs.250/- for oneway flights and Rs.400/- for roundtrip flights additionally on per passenger basis.
  • The passenger is required to check-in at least 3 hours prior departure for International flights (2 hours before departure for domestic flights.), else will be considered as a no show.
  • By accepting our booking terms, user is also agreeing to terms & conditions of the respective airline.
  • The passenger needs to check-in at least 2 hrs prior departure for Air India and Air India Express domestic flights else will be considered as a no show.
  • Infants must have valid proof-of-age documents showing that the infant is less than two years old.


  • Bus Booking Terms

  • Our responsibilities does not include
  • The bus operators bus not departing / reaching on time.
  • The bus operator's employees being rude.
  • The bus operators bus seats etc not being up to the customer's expectation.
  • The bus operator cancelling the trip due to unavoidable reasons.
  • The baggage of the customer getting lost / stolen / damaged.
  • The bus operator changing a customer's seat at the last minute to accommodate a lady / child.
  • The customer waiting at the wrong boarding point (please call the bus operator to find out the exact, boarding point if you are not a regular traveller on that particular bus).
  • The bus operator changing the boarding point and/or using a pick-up vehicle at the boarding point to take customers to the bus departure point.
  • Passengers are requested to furnish the following at the time of boarding the bus.
  • A copy of the ticket (A print out of the ticket or the print out of the ticket e-mail).
  • Identity proof (Driving license, Student ID card, Company ID card, Passport, PAN card or Voter ID card). Failing to do so, they may not be allowed to board the bus.
  • All tickets issued shall be non-transferable.
  • Passengers are required to reach the boarding place before 30 min of scheduled departure time.


  • Suggestions/Complaints regarding booked services

  • Any suggestions from the client will be gladly accepted in order to improve the level of services and accommodation provided. We welcome your feedback, comments and suggestions regarding the services purchased through us.

  • We have taken all reasonable care to make sure that all the services are provided to a reasonable standard and are provided as described. However, Orange Tree Travel Services is not responsible for any changes made by the supplier of which we have not been informed.

  • Orange Tree Travel Services will not be responsible for any lapse in services provided by a third party vendor like a hotel & Transporter. We take reasonable care while patronizing a hotel; however, may not under any circumstances guarantee the standard of services provide at the hotel.

    E & O E - Errors and Omissions Excepted

    Orange Tree Travel Services will not be responsible for any human error or typing error, which has gone unnoticed by the guest or the company staff.

    Modification of Terms and Conditions

    Orange Tree Travel reserves the right to amend/modify the terms, conditions, and notices as suitable in the interest of the clients and the company; and to comply with the legal requirements governing the industry.

    Legal jurisdiction

    For any dispute, the Civil Court of New Delhi, India is to be acknowledged as the sole competent authority.
